Microsoft 365 Copilot
Introduction
Microsoft 365 Copilot is Microsoft's AI assistant built into the Microsoft 365 apps people already use — Word, Excel, PowerPoint, Outlook, and Teams. Rather than being a separate chatbot, Copilot works directly inside these apps to draft content, analyze data, summarize meetings, and answer questions grounded in a person's own work data.
Copilot is sold as a layered system: a free AI chat experience included with most Microsoft 365 plans, a paid add-on for deeper, work-grounded AI capabilities, and a separate agent-building platform (Copilot Studio) for organizations that want to create custom AI agents. Which plan makes sense depends on whether an organization is on a small-business (Business) or large-scale (Enterprise) Microsoft 365 subscription.

Why You Should Upgrade to Paid Copilot
If you're only using the free Copilot Chat, you're using the demo version — not the product. Here's why it's worth moving to a paid plan:
- Free Copilot doesn't know your work. Paid Copilot does. Copilot Chat answers from the open web. The paid tiers plug directly into your emails, documents, meetings, and files, so every answer, draft, or summary is built on your actual data — not a generic guess you still have to rewrite.
- You're paying for the AI either way — you're just not getting the good version. Every Microsoft 365 seat already includes the free tier. Upgrading isn't adding a new cost category to the business, it's unlocking the version of a tool you're already invested in.
- The ROI math is almost impossible to lose. At $18–$30 per user/month, Copilot only needs to save each person about 30–60 minutes a month to pay for itself. Most users save far more than that just from AI-drafted first passes on emails, reports, and decks.
- It removes the "which tool do I open" tax. No tab-switching to a separate AI app — Copilot drafts inside Word, builds models in Excel, and summarizes threads in Outlook and Teams, exactly where the work already happens.
- It comes with agents, not just answers. Paid plans include ready-made agents (Researcher, Analyst, Facilitator) that can carry out multi-step tasks — the free tier only chats.
- Waiting has a cost too. Every month on the free tier is a month of drafting, summarizing, and analyzing manually — time that a $18–$30/month upgrade would have bought back immediately.
Bottom line: the free tier is there to prove Copilot works. The paid plan is where it actually starts paying for itself — the longer an organization waits to upgrade, the more manual hours it's leaving on the table.
Copilot Plans

1. Microsoft 365 Copilot Chat (Included, Free)
Before paying for anything, most Microsoft 365 customers already have some AI built in.
What it includes:
- Secure, web-grounded AI chat powered by the latest large language models
- Copilot in Outlook and the Microsoft 365 Copilot app
- Access to custom agents built by the organization, billed on a metered/pay-as-you-go basis
- Enterprise-grade data protection, even though it's free
Cost: Included at no additional charge for all eligible Microsoft 365 subscribers with a Microsoft Entra account.
Best for: Every organization as a starting point — it's essentially "Copilot Lite," available before anyone buys a paid Copilot license.
2. Microsoft 365 Copilot Business (Add-on for Business plans, up to 300 users)
This is the paid Copilot tier for small and mid-sized organizations already on a Microsoft 365 Business plan (Basic, Standard, or Premium).
What it adds on top of Copilot Chat:
- AI chat powered by Work IQ, Microsoft's intelligence layer that understands a user's files, workflows, and relationships
- Reasoning AI for research and data analysis
- Pre-built Microsoft agents, including Researcher, Analyst, and Facilitator
- Copilot inside Word, Excel, PowerPoint, Outlook, and Microsoft Teams (Teams license required)
- Analytics to measure adoption, usage, and business impact
- Choice of underlying AI model
Pricing (as an add-on to an existing Business plan):
- $18.00 per user/month, paid yearly — a promotional rate running from July 1 through September 30, 2026 (standard rate is $21.00/user/month)
- $25.20 per user/month on a month-to-month commitment
A qualifying Microsoft 365 Business plan is required to purchase this add-on.
Bundled Options (Copilot Pre-Packaged with a Business Plan)
Microsoft also sells Copilot pre-bundled directly into two Business plans, which can work out cheaper than buying the base plan and the add-on separately:
- Microsoft 365 Business Standard with Copilot — $23.50 per user/month, paid yearly ($28.20/month on a monthly commitment)
- Microsoft 365 Business Premium with Copilot — $32.00 per user/month, paid yearly ($38.40/month on a monthly commitment)
Best for: Small and mid-sized businesses (up to 300 users) that want AI assistance inside their everyday Office apps without moving to an Enterprise-scale plan.
3. Microsoft 365 Copilot (Enterprise)
This is the full Copilot experience for organizations on Enterprise-scale Microsoft 365 plans (E3, E5, or eligible Business plans with no user cap).
Everything in Copilot Chat, plus:
- AI chat grounded in the organization's actual business data via Work IQ
- Full Copilot integration across Word, Excel, PowerPoint, Outlook, and Microsoft Teams
- Priority access to the latest OpenAI models, with model choice
- Copilot Search, Notebooks, and voice access across mobile, desktop, and web
- Ability to create and use custom agents with Copilot Studio, included at no extra cost
- Pre-built agents (Researcher, Analyst, Facilitator) plus role-based Sales, Service, and Finance agents
- Enterprise-grade security, compliance, and SharePoint Advanced Management
- Advanced analytics on adoption, usage, and business impact
Pricing: $30.00 per user/month, paid yearly (annual commitment).
Requirement: A separate, qualifying Microsoft 365 Enterprise or Business plan is required before Copilot can be added — it isn't sold as a standalone product.
Best for: Large organizations that need AI deeply embedded across the whole Microsoft 365 suite, with enterprise-level security, compliance, and agent-building capability included.
4. Microsoft Copilot Studio (Building Custom AI Agents)
For organizations that want to go beyond using Copilot and actually build their own AI agents — including agents that reach outside Microsoft 365 to external websites, apps, or social platforms — Microsoft offers Copilot Studio as its own product line.
Included with Microsoft 365 Copilot
Every Microsoft 365 Copilot license already includes Copilot Studio access for building internal agents that work within Microsoft 365, with unlimited use and no extra cost. This is the simplest path for organizations that just want employees building agents for internal workflows.
Standalone Copilot Studio (for external/customer-facing agents)
For agents published to external channels (websites, apps, social platforms) or usable by non-licensed users, Copilot Studio is sold separately, in two ways:
- Pre-Purchase Plan — Prepaid Copilot Credit Commit Units, priced in capacity packs of 25,000 Copilot Credits at $200.00 per pack/month, with up to 20% savings for buying credits up front. Automatic pay-as-you-go coverage kicks in if prepaid credits run out.
- Pay-As-You-Go — Usage-based billing with no upfront commitment; organizations pay only for the Copilot Credits they actually consume. Requires an Azure subscription.
Copilot Credits are consumed whenever Copilot or an agent performs a task — summarizing, answering, generating content, or completing an action.
Best for: Organizations building agents for customers or the public, or that need advanced management features like dedicated deployment environments, Dataverse storage, and Power Platform admin controls.
Choosing the Right Copilot Plan
- Copilot Chat — Good for every organization to start; it's already included and free.
- Copilot Business — Best for small/mid-sized businesses (up to 300 users) wanting AI woven into daily Office work.
- Copilot Enterprise — Best for large organizations needing deep, secure, work-grounded AI across the whole suite.
- Copilot Studio — Best for organizations building custom, potentially customer-facing AI agents beyond Microsoft 365 itself.
